Difference between Actual Weight and Volume Weight in Shipping
Understand the difference between actual weight and volume weight, the formula for 5000 and 6000, comparison tables, and repacking simulations that save millions of rupiah in postage.
Actual weight is the weight of the item when weighed, while volume weight (volumetric weight) is the weight calculated from the size of the box using the formula (Length x Width x Height in cm): 5000. The forwarder charges you based on collectible weight, whichever is greater between the two. Therefore a 2 kg pillow in a large box could be billed as 19 kg, while a 6 kg bag of bolts in a small box would still be billed as 6 kg.
This concept is the number one cause of postage bills that exceed estimates. After reading this article, you’ll be able to do the math yourself before ordering – and know when repacking could save you millions.
What is Actual Weight
Actual weight (actual weight, gross weight) is the number that appears on the scales when the goods have been packaged complete with boxes, bubble wrap and other safeguards. This is the physical weight that a plane or ship actually has to carry. The unit is kilograms, and almost all forwarders round up in multiples of 0.5 kg or 1 kg depending on their individual policies.
What is Volume Weight
Volume weight is the conversion of space into units of weight. Cargo planes have weight limits as well as space limits. If an airline only charges for physical weight, a pallet of lightweight styrofoam will take up half the hull of the plane while paying almost nothing – it definitely doesn’t make economic sense. So the logistics industry agreed on a standard conversion factor.
The three formula variants you will most often encounter:
- (L x W x H in cm) : 5000 – international air cargo standard and most commonly used by jastip forwarders. Equivalent to the assumption that 1 cubic meter = 200 kg.
- (L x W x H in cm) : 6000 – used by some express couriers and some routes. The result is about 17% lighter, so it is more profitable for the sender.
- (L x W x H in inches) : 166 – imperial version used by American couriers. The value is equivalent to the divisor of 6000 in centimeters.
Never assume. Ask directly which divider your service provider uses, because the difference between 5000 and 6000 on a large shipment can be worth hundreds of thousands to millions of rupiah.
Billed Weight: The Amount You Actually Paid
The formula is as simple as this:
Collectible weight = the largest value between the actual weight and the volume weight, then rounded up according to the forwarder’s policy.
High density items such as books, tools and metal spare parts are usually billed using actual weight. Low density items such as pillows, dolls, shoes, decorative lights, and large retail packages are almost always billed by volume weight.
Step by Step Calculation Example
Example 1: A pair of sneakers
- Box dimensions: 35 x 25 x 14 cm.
- Volume = 35 x 25 x 14 = 12,250 cm3.
- Volume weight (divisor 5000) = 12,250 : 5000 = 2.45 kg.
- Volume weight (divisor 6000) = 12,250 : 6000 = 2.04 kg.
- Actual weight on the scales = 1.8 kg.
- Collectible weight = largest value = 2.45 kg, rounded to 2.5 kg.
- With a rate of Rp 320.000 per kg, postage = 2.5 x Rp 320.000 = Rp 800.000.
If your forwarder uses a 6000 divisor, the billable weight will be 2.04 kg which is rounded to 2.5 kg as well – in small cases like this the difference is lost by rounding. The effect is only felt on large shipments.
Example 2: Big doll
- Original box dimensions: 60 x 40 x 40 cm.
- Volume = 60 x 40 x 40 = 96,000 cm3.
- Volume weight = 96,000 : 5000 = 19.2 kg.
- Actual weight is only 3.5 kg.
- Collectible weight = 19.2 kg, rounded 19.5 kg.
- Postage = 19.5 x Rp 320.000 = Rp 6.240.000.
A doll costing Rp 900.000 with shipping Rp 6,24 juta is clearly unreasonable. This is where repacking comes in, and we calculate the savings below.

Note the pattern: keyboards and books are billed using actual weight because they are solid, while dolls and decorative lamps are billed using volume weight with a difference of up to 5 times the original weight. You can calculate your own case via our volume weight calculator.
Simulation of Savings through Repacking
Back to the doll earlier. If the original retail box is opened and the contents are repackaged in a 45 x 35 x 30 cm box with vacuum compression:
- New volume = 45 x 35 x 30 = 47,250 cm3.
- New volume weight = 47,250 : 5000 = 9.45 kg, rounded 9.5 kg.
- New postage = 9.5 x Rp 320.000 = Rp 3.040.000.
- Previous postage Rp 6.240.000.
- Savings = Rp 6.240.000 – Rp 3.040.000 = Rp 3.200.000, or down 51%.
Important note: for collectibles, limited edition sneakers, and toys whose value depends on the condition of the original packaging, do not engage in aggressive repacking. A dented original box can reduce the selling value of the item by more than the postage savings.
Volume Weight on Ocean Shipping: Get to Know CBM
For LCL sea cargo, the unit used is not kilograms but CBM (cubic meters or cubic meters). The formula:
CBM = (L x W x H in cm): 1,000,000
The 60 x 40 x 40 cm dummy doll is equivalent to 96,000 : 1,000,000 = 0.096 CBM. Since almost all LCL providers impose a minimum charge of 0.3 to 1 CBM, such small shipments are not economical by sea. Multiplier Effect: Volume Weight Increases Handling Costs
Many people think that the impact of volume weight stops at postage. In fact, the basis for calculating the cost of handling a shipment is the price of the goods plus shipping costs and insurance. This means that shipping costs that increase due to volume weight also increase handling costs, so that one oversized box punishes you twice.
Let’s continue the dummy case with the assumption that the goods price Rp 900.000 and handling costs are equal to 19.3% of the basic calculation:
- Without repacking: basic calculation = 900,000 + 6,240,000 = Rp 7.140.000. Handling fee = 19.3% x 7,140,000 = Rp 1.379.805.
- After repacking: basic calculation = 900,000 + 3,040,000 = Rp 3.940.000. Handling fee = 19.3% x 3,940,000 = Rp 761.405.
- Handling cost savings = 1,379,805 – 761,405 = Rp 618.400.
Combined with postage savings Rp 3.200.000, the total you save from one packaging decision is Rp 3.818.400. This figure is greater than the price of the doll itself. The above rates and percentages are estimates for illustrative purposes; confirm the figures in effect when your item is shipped.
This pattern applies to all large and light boxed items. Every rupiah of postage that you don’t actually have to pay will have a double effect, because it also increases the basis for calculating the next cost item. That’s why shrinking the box isn’t just about saving shipping, it’s about squeezing two posts at once – and why measuring the box before buying is much more valuable than haggling over the rate per kilogram once the item lands.

How to Measure Dimensions Correctly
- Measure after packing, not the size of the naked item. Bubble wrap and boxes are also counted.
- Take longest point on each side. For irregular items, imagine the smallest box that can hold them.
- Round up to the nearest centimeter. Warehouse will do the same.
- Include protrusions such as handles, wheels, or table legs in your measurements.
- For palletized shipments, measure including the height of the pallet itself.
- Measure each box separate, then add up the resulting volume weight. Do not add dimensions.
Most Frequently Occurring Mistakes
- Use the weight written on the product page. That is usually the weight of the item only, without shipping packaging.
- Add up the lengths of several boxes. Calculate the volume of each box, then add them up.
- Assuming all forwarders use the same divider. The difference between 5000 vs 6000 reaches 17%.
- Forgot that shipping costs are included in the calculation basis. Shipping costs that increase due to volume weight also increase your handling costs.
- Ignoring rounding. A weight of 2.05 kg is generally billed as 2.5 kg.
Checklist Before Ordering Large Items
- Ask the seller to send the box dimensions, not the product dimensions.
- Calculate the volume weight with a divisor of 5000 as the worst case scenario.
- Compare with actual weight, take the bigger one.
- Ask whether your forwarder uses a 5000 or 6000 divider.
- Ask if repacking services are available and how much it costs.
- If the total shipment is above 0.3 CBM, also request a quote by sea.
- Enter the calculated shipping costs into the estimated handling costs.
